I had the pleasure of working with the Obsidian team at TheKey to implement Workday. TheKey had 6 months for implementation and the Obsidian team came on board offering their expertise in Payroll processing. 

Chris Kane and his team lead the consolidation of 50+ EFINs into a Single Legal Entity, standardized all corporate employees onto a bi-weekly pay schedule, transitioned over 5,000 caregivers from a bi-weekly pay schedule to a weekly pay schedule, implemented new processes to ensure payroll processing was in line with federal and state regulations, recommended best practices for Workday configurations, data cleansed information for the transition to Workday and trained the Payroll team on running Workday Payroll. I’m confident the Obsidian team did much more than I was able to capture.

Obsidian proved itself an agile partner with a strategic vision focused on our success, moving the project to completion by managing the details. 

The Obsidian Team was instrumental in our successful implementation of Workday Payroll and HRIS They were brought in late to the implementation and delivered a unified strategy and implementation plan at a time when TheKey’s Workday project was floundering:

  • TheKey had 1200 Corporate employees scattered over 53 FEIN’s and some hired in multiple entities. Obsidian's strike team approach allowed them to move forward on multiple coordinated fronts consolidating the Corporate employees into a single FEIN allowing for a series of successful parallel tests, Gold build and Go Live on-time for the 3rd Quarter. Considering they came in April it was truly an exercise in coordination. Concurrent with this, they coordinated the set up of  earnings code tables and our compliance initiatives (FLSA, CA RROP)

  • Having stabilized the initial implementation, Obsidian proceeded to quarterback the implementation of our Caregiver population (22,000 Employees) in 53 FEIN’s, with over 1800 of which were hired within multiple entities, so that when moved into Workday would only have one employer moving forward. Obsidian designed the plan, transformed the data in real time during implementation to enable database consolidation (3 versions of Paychex and Paycom), aligned and drove communications across Payroll, HR, IT, Legal and functional groups to a degree never previously accomplished, allowing for a seamless transition of employees from Paychex and Paycom to Workday payroll by the completion of the 3rd Quarter.

  • In addition to the payroll transformation, Obsidian tackled the time management integration; developing custom links that allows Workday to communicate with and update Clearcare Caregiver information, and subsequent Caregiver time capture (60 distinct instances).

  • Obsidian was able to assume the role of program management and direction of client teams and external contractors, to drive success and insured a single source open enrollment for 2023 Benefits in the Workday platform.

During the critical interim period, Obsidian expertly devised and managed interim solutions, allowing us the necessary time to thoroughly test and vet the final solution. Their support ensured a seamless transition without compromising quality or efficiency.
